We are currently looking for: Receptionist & Office Specialist.

Job description

We are looking for someone to help us manage our office. This person will guarantee the smooth running of the office on a daily basis and complete various administrative support and organizational tasks to maintain the ongoing requirements. Also, this person will be the front face of the company, welcoming everyone in the morning (from employees to clients) and will be the one responsible for closing the office at the end of the day. The ideal candidate should have excellent oral and written communication skills, be friendly, be able to organize their work, be responsive and highly responsible, and have basic computer literacy.

Role responsibilities

  • Welcome clients, candidates & other people to the company.
  • Reply and forward contacts and information requests.
  • Assistance to the board members: Management of all their agendas and contacts; Travel management and booking of all the travel needs.
  • Management of the archive, files, and mail.
  • Reception, categorization, and daily distribution of mail/parcels and digital post - Ensure the mail flow: DHL, CTT
  • Update and maintain office policies and procedures.
  • Ensure the reservation and preparation of the rooms for the meetings - bring coffees, waters, or others when requested.
  • Stock Management (orders, payments & delivers): general office supplies, and consumables of the WCs.
  • Ensure receipt of orders and storage of all material.
  • Safety & Hygiene: implement all measurements reported by our supplier (periodic verifications: fire extinguishers, and AC’s, and other requirements).
  • Support the internal and external communication.
  • Involvement in various projects that, directly or indirectly, affect the Office Management department or others when administrative support is needed
  • Performs other related duties as assigned.

Requirements

  • High School or Professional Course in the Administrative area (Bachelor Degree is a plus)
  • Have at least 2 years of experience in a similar role or at least 2 years of experience in a job role within the administrative area
  • Mandatory Languages: Portuguese (native or proficient) and English skills (native or proficient)

  • Punctuality and reliability
  • Excellent communication skills
  • Have inter-disciplinary and inter-department capabilities

  • Able to work in a highly dynamic and international environment
